Position overview

We are seeking a detail-oriented and highly organized Data Entry Officer / Data Entry Specialist to support our administrative and data management operations. The successful candidate will accurately enter, update, organize, and maintain information across internal databases, spreadsheets, and digital systems.

This position suits individuals who demonstrate strong attention to detail, accuracy, confidentiality, and the ability to manage repetitive tasks while maintaining consistent quality.

Key responsibilities

  • Enter, update, verify, and maintain information in company databases, spreadsheets, and internal systems.
  • Review source documents and ensure information is entered accurately and completely.
  • Identify and correct data inconsistencies, duplicates, and errors.
  • Organize and maintain electronic records and documentation.
  • Perform data validation and quality-control checks.
  • Convert information from documents, forms, emails, and other sources into digital formats.
  • Maintain accurate records while following established data-entry procedures.
  • Assist with data cleaning, formatting, sorting, and basic reporting.
  • Retrieve and organize information when requested by authorized team members.
  • Maintain confidentiality and handle sensitive business information responsibly.
  • Meet established productivity, accuracy, and turnaround-time requirements.
  • Report discrepancies, missing information, or technical issues to the appropriate supervisor.
  • Follow company policies relating to data security, privacy, and record management.

Required qualifications

  • High school diploma or equivalent; additional education or relevant training is an advantage.
  • Previous data entry, administrative, clerical, customer service, or office-support experience is preferred but not always required.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and accuracy.
  • Good organizational and time-management skills.
  • Ability to work independently and meet deadlines.
  • Comfortable working with computers and digital systems.
  • Basic to intermediate knowledge of Microsoft Excel, Google Sheets, Microsoft Word, or comparable applications.
  • Ability to learn new software and internal systems quickly.

Preferred skills

  • Fast and accurate keyboarding/data-entry skills.
  • Experience working with spreadsheets and databases.
